Position Title: Officer
A vacancy has arisen within the Central Business District Foundation (CBDF) for an Officer in the Office of the Chief Executive Officer. The Officer will work closely with and assist the CEO in
administrative tasks in the operations of the CBDF.
The CBDF is a public benefit Foundation set up as a Public Private Partnership and is jointly owned by the Government and the Private Sector. The CBDF is tasked with the maintenance and upkeep of the Central Business District. It shall ensure that the rapid development taking place within the area takes place, as much as possible, in a sustainable manner.
Description of Main Duties:
- Organizes and maintains a well-organized office system, including data management, related documentation, and a filing system as necessary to meet the needs of the office.
- Screening phone calls, enquiries and requests and handling them when appropriate
- Inputs and maintains electronic databases so as to ensure continuous and proper upkeep of records.
- Manages CBD incoming and outgoing correspondence and records as directed.
- Ensures that all information and correspondence is easily retrievable and properly stored for ease of access and reference.
- Prepares reports and presentations as assigned.
- Maintains meeting schedules and calendars.
- Acts as the first point of contact and welcomes clients to the office and handles requests, feedback and queries quickly and professionally.
- Follows up, coordinates and communicates with external clients and/or stakeholders as appropriate.
- Attends any other briefings and meetings as requested, takes minutes during meetings and following on any action required.
- Prepares and presents reports and other documentation to Management as requested.
- Other general administrative tasks as necessary and/or as assigned to ensure the smooth running of the office.
Qualifications Required:
Minimum 6 O-level standard which must include Maltese, Mathematics, English and any other Foreign Language.
Must be in possession of a certificate in customer care and a Valid Driving license Applicants with some office work experience and knowledge of office administration procedures and practises will be given preference.
